Who we are: FilingSage (“we,” “us,” “our”) operates https://filingsage.com — a private document-retrieval service (e.g., Certificates of Good Standing and certified copies).
We’re not a government agency and we don’t provide legal advice. This policy explains how we collect, use, and share information when you use our site and services.
What personal data we collect and why we collect it
Orders & Accounts
When you place an order or create an account, we collect your name, email, billing details, business/entity information, and order contents so we can process your request, deliver documents, and provide support.
Payments
Payments are processed by our payment processor (e.g., card networks/gateways). We do not store full card numbers on our servers. The processor receives payment information directly to complete your purchase and may use fraud-prevention tools.
Contact Forms & Email
If you contact us, we collect the information you submit so we can respond and keep records of our communications.
Technical Data & Logs
We collect IP address, browser/user-agent, pages viewed, referring URLs, and basic diagnostic logs to operate, secure, and improve the site (e.g., fraud prevention, debugging, analytics in aggregate).
Comments (WordPress default)
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available at: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media (WordPress default)
If you upload images, avoid uploading images with embedded location data (EXIF GPS). Visitors to the website can download and extract any location data from images on the website.
Cookies
Essential Cookies (site operation)
We use essential cookies so the site, cart, account, and checkout work properly (e.g., remembering cart contents and login state). If you block essential cookies, some features won’t work.
WordPress/WooCommerce Cookies (defaults)
- If you leave a comment you may opt-in to saving your name, email and website in cookies for convenience (lasts up to 1 year).
- On login, we set cookies to save your login information and screen display choices. Login cookies last up to 2 days; “Remember Me” may persist up to 2 weeks; screen options up to 1 year. Logging out removes login cookies.
- If you edit or publish content, an additional cookie with the post ID may be set (expires after 1 day).
- WooCommerce also sets cookies to keep track of cart contents during your session.
You can control cookies via your browser settings.
Embedded content from other websites (WordPress default)
Articles on this site may include embedded content (e.g., videos, images, articles). Embedded content from other websites behaves as if the visitor has visited the other website. Those sites may collect data, use cookies, embed third-party tracking, and monitor your interaction with that content.
Who we share your data with
We share information with service providers who help us operate our business and website, including:
- Payment processing and anti-fraud
- Website hosting, backup, and security
- Email delivery and customer support tools
- WooCommerce/WordPress extensions needed to run the store
These providers may only use data to perform services for us and must safeguard it appropriately. We do not sell your personal information.
If you request a password reset, your IP address may be included in the reset email (WordPress default).
How long we retain your data
- Orders & accounting records: retained as required by tax, accounting, and business-records laws (often 7 years).
- Accounts: kept while your account is active and as needed for our records.
- Communications: kept as long as needed for support and business records.
- Comments: if you leave a comment, the comment and its metadata are retained indefinitely so we can recognize and approve follow-ups automatically.
What rights you have over your data
If you have an account or have placed orders or left comments, you can request:
- an export of the personal data we hold about you, and/or
- deletion of personal data we hold about you.
This does not include data we must keep for administrative, legal, or security purposes (e.g., invoices, dispute records). To exercise rights, email orders@filingsage.com. We will verify your request as required by law.
EU/UK visitors
Depending on your location, you may have rights to access, correct, delete, restrict, or object to processing, and data portability. Our primary legal bases are contract (to fulfill your order), legitimate interests (security/fraud prevention, site operation), and consent where required (e.g., optional marketing).
California (CPRA)
If applicable, California residents may request access and deletion, and information about disclosures. We do not sell or share personal information for cross-context behavioral advertising.
Where your data is sent / processed
Visitor comments may be checked through an automated spam detection service. Depending on your location, your information may be processed in countries with different data-protection laws; we take reasonable measures to protect your information during such transfers.
Security
We use reasonable administrative, technical, and physical safeguards (e.g., encrypted transport, limited access). No method of transmission or storage is 100% secure.
Children’s privacy
Our services are not directed to children under 13 (or 16 where applicable). We do not knowingly collect information from children.
Changes to this policy
We may update this policy from time to time. The “Last updated” date reflects the latest version. Material changes will be communicated by reasonable means.
